Wedding Terms & Conditions at The Retreat Castle Hotel

1. Noting Interest

We do not take provisional reservations, however we will note your interest. In the event that another client wishes to confirm a booking for the same date with an immediate deposit payment, the first client will be contacted and given the first opportunity to confirm the booking with an immediate deposit payment. If the first client is unable to confirm the booking with an immediate deposit payment, the date will be released to the other client in exchange for the immediate deposit payment.

2. Confirmation of Booking

• Bookings should be confirmed by letter enclosing either a cheque or valid credit card (Visa, MasterCard or Maestro) details in respect of the deposit for the sum of room hire. If a confirmed booking is subsequently cancelled the deposit paid in non-refundable.
• Written acknowledgement of the booking will be sent to the client upon receipt of a confirmed booking with full payment of the deposit and duly signed Terms and Conditions.
• Cheques should be made payable to Below the Belt Hotels co. Ltd.

3. Cancellations

In the event of a cancellation all payments are non-refundable. If you wish to change the date of your wedding, you will incur an administration fee.

4. Terms of Settlement

• An interim payment of 60% of the facility fee will be due by – “Payment date set at time of booking”.
• The Balance of the facility fee with be due by – “Payment date set at time of booking”.
• Full settlement of the food and beverage costs will be due one month prior to the event. Any other charges incurred by you or your guests during the event will be charged to your nominated credit card and a full statement of these charges will be sent onto you by post.

5. General terms

• All civil ceremonies must be conducted in the Dovecot building and are limited to 50 persons.
• Guests are asked to remember to conduct themselves accordingly. You will be responsible for the orderly conduct of your guests and shall ensure that their behaviour in no way jeopardises the Castle and any liquor license in force during the time of your wedding. We reserve the right to charge the cost of any substantial damage/breakage up to the limit of the excess on our insurance policy.
• Please note guests are not permitted to provide their own catering or supply their own beverages under any circumstance. The Retreat castle staff have the right to withdraw the bar facility, if necessary.
• Final guest numbers attending the wedding must be provided to us no later than 5 working days in advance of the wedding.
• The Retreat Castle can offer a wedding ceremony officiated by a Church of Scotland Minister. If you wish to hold an alternative ceremony, all guests have to consult with their own church to discuss the legal and religious requirements.
• Below the Belt Hotels Co. Ltd and their employees are not responsible for lost, stolen, broken or forgotten articles. Please have someone in your party responsible for collecting any personal property. We can also accept no liability for cars parked on the grounds or their contents.
• We regret that pets are not allowed
• The Retreat Castle does not permit smoking within in the whole building- designated areas are provided.
• Commercial Photography- It is the responsibility of the guest that hires a photographer, that the photographer submits to the castle for approval any photographs of the castle interior/exterior he/she proposes to publish on their commercial website.
• Guests should vacate their bedrooms by 11am on the day of departure. Bridal couples are welcome to store their things with our reception staff
• Whilst children are welcome in the castle and encouraged to enjoy the grounds, parents are asked to supervise their children as appropriate.
• Due to our family of Peacocks and Peahens we regret that we can not allow fireworks.
